How to Send Applications to Manual Review

What you will achieve in this guide

Follow this step-by-step documentation to configure custom B2B registration forms, approval workflows, and customer tagging.

EXPECTED SETUP TIME 5-10 Minutes
COMPATIBILITY All Shopify Themes & Plans
TECHNICAL DIFFICULTY Zero Code Required

Route Shopify wholesale applications to your team when their answers need closer inspection.

Before you begin

Review the form’s questions, saved approval settings, and active rule order. Have controlled applications ready for matching and nonmatching cases. Check Shopify B2B availability separately before enabling company creation.

Route an exception without granting access

A manual-review rule identifies applications that need a person to inspect them. A match leaves the application awaiting review rather than performing approval onboarding. Use it for documents, unusual purchasing, or other exceptions that cannot be safely decided from the answer alone.

Place the exception ahead of broader automatic rules when it should take precedence. Blocking an email domain prevents its submission; routing that domain to manual review accepts the application for inspection. These are different policies.

Set up this workflow

  1. Open the form Settings → Advanced → Approval rules.

  2. Add a descriptive manual-review rule.

  3. Choose fields and conditions representing applications your team should inspect.

  4. Select Send to manual review as the decision.

  5. Position the rule before broader automatic rules when it should take precedence, then save.

  6. Submit a matching test and confirm it is awaiting manual review in Submissions.

Example

Route gmail.com or yahoo.com applicants to review instead of rejecting them automatically.

Expected result

A matching application awaits human review instead of being approved by a later broad rule.

Limits and important behavior

  • A manual-review decision does not create approved access by itself.
  • Use the original answers and uploaded files during review.
  • Do not confuse blocked email domains with routing those domains to manual review.

Troubleshooting and verification

If a review case is decided automatically, inspect earlier active rules: the first match wins. Place the review exception before broader approval rules. Confirm the recorded application remains Pending rather than expecting a separate multi-stage review status.
