How to Create an Auto-Approve Rule
What you will achieve in this guide
Follow this step-by-step documentation to configure custom B2B registration forms, approval workflows, and customer tagging.
Automatically approve Shopify B2B applications that satisfy your saved qualification conditions.
Before you begin
Review the form’s questions, saved approval settings, and active rule order. Have controlled applications ready for matching and nonmatching cases. Check Shopify B2B availability separately before enabling company creation.
Automate a qualification policy you can express
An auto-approve rule is suitable when the accepted answers are enough to decide without additional document inspection. Use the correct field type and operator, define required conditions, and check priority before activating it.
Automatic approval runs the same customer/tag/optional-company onboarding effects as other approval paths. A broad rule should not come before a specific exception that needs manual review. Test boundary values and overlap, not only the obvious qualifying case.
Set up this workflow
Open the form Settings → Advanced → Approval rules.
Select Add rule and enter a descriptive rule name.
Choose All for conditions that must all match or Any for alternative acceptable matches.
Select fields, condition operators, and comparison values.
Choose Auto-approve, review the applicant-email option, activate the rule, and save.
Submit both a qualifying and a nonqualifying application and inspect their decisions.
Example
Approve when country is United States and a tax-ID answer is not empty, provided that this matches your business policy.
Expected result
A qualifying fresh application is Approved and its configured onboarding effects are applied. A nonmatching test does not qualify under this rule.
Limits and important behavior
- Place more specific rules before broad approval rules.
- Automatic approval can create or link customers, add tags, create optional B2B companies, and notify integrations.
- An uploaded file being present is not proof that the document is valid.
Troubleshooting and verification
If an application is approved unexpectedly, inspect broad rules above the intended one and whether the rule uses Any instead of All. Test a qualifying application, a near miss, and a boundary value before relying on automation. A supplied document alone is not a verified document.
Screenshots to add
Screenshot placeholder: Capture the relevant app screen for “How to Create an Auto-Approve Rule” after completing the setup. Show the controls used to open the form Settings → Advanced → Approval rules. Add a second screenshot showing the result of this check: Submit both a qualifying and a nonqualifying application and inspect their decisions. Use dummy applicant details and mask any secrets.
