How to Create and Update a Customer Segment Using Approval Tags
What you will achieve in this guide
Follow this step-by-step documentation to configure custom B2B registration forms, approval workflows, and customer tagging.
Create or update a Shopify customer segment matching a form’s approval tags from Rivio B2B Registration Forms settings.
Before you begin
Review the form’s questions, saved approval settings, and active rule order. Have controlled applications ready for matching and nonmatching cases. Check Shopify B2B availability separately before enabling company creation.
A segment is a saved rule, not a manual applicant list
Create customer segment uses the form's approval tags to create or update a matching Shopify segment. Approved customers matching its criteria can be found through that segment; the action does not create a new approval policy.
Save the intended tags first, then open the generated segment link and inspect its query. If tags change, use the app action to update the segment after reviewing the warning. A duplicated form does not inherit the original segment link.
Reference and examples
For example, use demo-wholesale as the form approval tag. After creating the segment, inspect its generated query and an approved customer carrying that tag. If you replace it with demo-retailer, review the warning and update the segment through the action. Read the generated query to see how multiple tags are combined.
Set up this workflow
Open the form Settings and select Advanced.
Review After approval → Customer tags and save the intended tags.
Use Create customer segment to create or update the form’s matching Shopify segment.
Open the displayed segment link and review its query and matching customers.
If approval tags change, read the warning and update the segment through the app action.
Approve a test applicant and confirm the segment reflects the intended approval-tag criteria.
Example
A wholesale form using a wholesale approval tag can create a matching segment for later marketing and reporting.
Expected result
The generated Shopify query matches the intended approval tags and the suitable approved test customer is included.
Limits and important behavior
- Duplicating a form does not copy its original segment link; create a segment for the new form when needed.
- A segment groups customers by its query; it does not itself grant catalog access or discounts.
- Review the generated query rather than assuming undocumented AND/OR semantics for multiple tags.
Troubleshooting and verification
If a customer is missing from the segment, compare the saved segment query with the customer’s actual approval tags. After changing a form’s tags, use the segment update action. A duplicated form needs its own segment link, and a segment does not grant pricing access.

Show the controls used to open the form Settings and select Advanced. Add a second screenshot showing the result of this check: Approve a test applicant and confirm the segment reflects the intended approval-tag criteria. Use dummy applicant details and mask any secrets.
