Understanding Submission Statuses

What you will achieve in this guide

Follow this step-by-step documentation to configure custom B2B registration forms, approval workflows, and customer tagging.

EXPECTED SETUP TIME 5-10 Minutes
COMPATIBILITY All Shopify Themes & Plans
TECHNICAL DIFFICULTY Zero Code Required

Shopify wholesale applications use Pending, Approved, Rejected, and Spam statuses in Rivio B2B Registration Forms.

Before you begin

Find the intended application by form, reference, and applicant email. Read its current status and original answers before changing a decision. Approval can affect customer tags, company records, emails, and connected integrations.

What each status means

Pending means the application is awaiting a final decision. Approved means approval was applied. Rejected means the application was declined. Spam separates unwanted applications from legitimate reviews. The status tabs help you organize work; they are not just cosmetic labels.

A decision can trigger customer tags, optional company records, emails, and integrations. Reopen returns an application to Pending. Review consequences before changing an already approved application.

Reference and examples

Status/action Meaning Reviewer check
Pending Awaiting review/final decision Inspect answers and evidence before acting.
Approved Approval applied Check customer, tags, optional company, email, and integrations.
Rejected Application declined Review applicant-facing reason and prior-approval cleanup.
Spam Unwanted application Excluded from integration processing; review preventive controls.
Reopen Return to Pending Review again; do not confuse with a new submission.

Example

Keep one valid demo application Pending, approve another, reject a third, and mark an obvious test spam entry as Spam.

Expected result

Each controlled record appears under its correct status filter; receipt and approval remain separate events.

Limits and important behavior

  • Status changes can have effects beyond the list, including tags, company records, emails, and integrations.
  • Rejection after prior approval removes tags added by the app and deletes the company it created.
  • Spam is not forwarded to integrations.

Troubleshooting and verification

If you cannot find an application, clear status, form, and date filters before searching its reference or email. If an action has already run, inspect the current status and linked Shopify records before repeating it.
