How to Approve an Application Manually

What you will achieve in this guide

Follow this step-by-step documentation to configure custom B2B registration forms, approval workflows, and customer tagging.

EXPECTED SETUP TIME 5-10 Minutes
COMPATIBILITY All Shopify Themes & Plans
TECHNICAL DIFFICULTY Zero Code Required

Approve a Shopify wholesale application manually to create or link the customer, add approval tags, and trigger configured approval integrations.

Before you begin

Find the intended application by form, reference, and applicant email. Read its current status and original answers before changing a decision. Approval can affect customer tags, company records, emails, and connected integrations.

Approval changes more than the inbox status

Approving an application creates or reuses the Shopify customer by email and adds the form's approval tags. Optional company creation can add a company, one location, and the applicant contact. Review those settings before selecting Approve.

Manual admin approval now sends approval events to integrations as automatic and API approval do. Each approval is emitted once by the app. Inspect the resulting records and configured services; approval still does not assign catalogs, pricing, or payment terms for you.

Set up this workflow

  1. Open the Pending application in Submissions.

  2. Review the answers and uploaded documents against your requirements.

  3. Check the form’s approval tags and company-creation settings before proceeding.

  4. Add an internal note if your review process needs one.

  5. Select Approve.

  6. Confirm Approved status, inspect the Shopify customer and optional company links, and check configured notifications and integrations.

Example

Use a Pending demo application and configure the demo-wholesale approval tag. Review its answers, approve it once, and open the linked Shopify customer.

Expected result

The application is Approved and the customer carries the configured approval tag; enabled integrations receive the expected approval event.

Limits and important behavior

  • Customers are upserted by email; existing customer name, phone, and tags are preserved, and approval tags are added.
  • Manual approvals now send approval events to connected integrations, just as automatic and API approvals do.
  • Each approval event is sent once; do not assume this makes every third-party workflow idempotent.

Troubleshooting and verification

If the application becomes Approved but expected access is absent, open its customer link and inspect approval tags and any optional company. Review catalog or pricing access in its separate configuration. Manual approval also sends the supported integration approval event once.

Add a second screenshot showing the result of this check: Confirm Approved status, inspect the Shopify customer and optional company links, and check configured notifications and integrations. Use dummy applicant details and mask any secrets.
