How to Configure and Verify Your Own SMTP Sender

What you will achieve in this guide

Follow this step-by-step documentation to configure custom B2B registration forms, approval workflows, and customer tagging.

EXPECTED SETUP TIME 5-10 Minutes
COMPATIBILITY All Shopify Themes & Plans
TECHNICAL DIFFICULTY Zero Code Required

Send Shopify registration applicant emails through your own SMTP service after verifying the connection in app Settings.

Before you begin

Identify which message you are testing: merchant notification, application-received auto-responder, approval, or rejection. Confirm the recipient address and sending method before changing message content.

Sender configuration is separate from content

App default sends through the built-in method. Your own SMTP option uses the host, credentials, and sender values supplied by your mail provider. Verify tests the configuration before you rely on it for applicant notifications.

A successful submission does not prove email delivery. After saving, use a controlled inbox to check sender identity, subject, formatting, and receipt. If verification fails, correct the provider settings rather than changing form questions.

Set up this workflow

  1. Open the app Settings and locate Sending domain or sender settings.

  2. Change Sending method from App default to your own SMTP option.

  3. Enter the SMTP values requested by the app using your mail provider’s supplied settings.

  4. Set the sender name and address where those controls are available.

  5. Use Verify to test the configuration before saving.

  6. Send a test application email and confirm delivery, sender identity, and reply handling.

Example

Configure a test sender with your provider's SMTP values and use Verify before testing a real form notification.

Expected result

Verification succeeds and a controlled notification arrives from the intended sender.

Limits and important behavior

  • Do not invent host, port, or encryption settings; use your SMTP provider’s documentation.
  • SMTP credentials are secrets and should not appear in forms, screenshots, or support messages.
  • Check spam folders and provider delivery logs when verification succeeds but email does not arrive.

Troubleshooting and verification

If Verify fails, compare the SMTP host, port, account, password, and sending identity with your provider’s settings. Save only after verification, then trigger a controlled application email. A successful SMTP connection still needs a delivery check in the recipient inbox.

Screenshots to add

Screenshot placeholder: Capture the relevant app screen for “How to Configure and Verify Your Own SMTP Sender” after completing the setup. Show the controls used to open the app Settings and locate Sending domain or sender settings. Add a second screenshot showing the result of this check: Send a test application email and confirm delivery, sender identity, and reply handling. Use dummy applicant details and mask any secrets.
