How to Use Email Variables and HTML Formatting

What you will achieve in this guide

Follow this step-by-step documentation to configure custom B2B registration forms, approval workflows, and customer tagging.

EXPECTED SETUP TIME 5-10 Minutes
COMPATIBILITY All Shopify Themes & Plans
TECHNICAL DIFFICULTY Zero Code Required

Personalize Shopify application-received emails with supported variables and optional HTML formatting.

Before you begin

Identify which message you are testing: merchant notification, application-received auto-responder, approval, or rejection. Confirm the recipient address and sending method before changing message content.

Use supported substitutions

The received auto-responder supports variables such as {{contact_name}}, {{form_name}}, and {{shop_name}}. These are replaced using the application and shop context, so the relevant contact information must exist for the personalized greeting you intend.

Use plain text for a simple message and HTML for structured formatting. Test the delivered email, including missing optional values, instead of relying only on the saved editor content. Never paste application scripts into an email template.

Set up this workflow

  1. Open the form’s confirmation-email settings.

  2. Choose plain text for a simple message or HTML for formatted content.

  3. Use documented variables such as {{contact_name}}, {{form_name}}, and {{shop_name}}.

  4. Include a clear receipt statement and the next review step.

  5. Save and submit a test containing contact information.

  6. Check that variables resolve correctly and the message remains readable in the recipient’s email client.

Example

Use the supported contact_name, form_name, and shop_name variables in a received-message draft, such as Hello {{contact_name}}, we received your {{form_name}} application.

Expected result

A test email shows resolved values and readable formatting rather than raw variable tokens.

Limits and important behavior

  • Use only variables documented in the app or confirmed for this feature.
  • Custom HTML should not include JavaScript.
  • A missing contact-name answer can affect personalization; test incomplete optional data too.

Troubleshooting and verification

If a message is absent, confirm its event occurred and the relevant email option was enabled. Check the recipient’s spam folder, available email logs, and SMTP verification if using your own sender. A received application and a delivered email are separate results.

Screenshots to add

Show the controls used to open the form’s confirmation-email settings. Add a second screenshot showing the result of this check: Check that variables resolve correctly and the message remains readable in the recipient’s email client. Use dummy applicant details and mask any secrets.
