How to Customize the Application-Received Email
What you will achieve in this guide
Follow this step-by-step documentation to configure custom B2B registration forms, approval workflows, and customer tagging.
Customize the confirmation email sent after a Shopify registration application is received, using plain text or HTML.
Before you begin
Identify which message you are testing: merchant notification, application-received auto-responder, approval, or rejection. Confirm the recipient address and sending method before changing message content.
Confirm receipt without promising access
The application-received email tells a buyer their submission arrived. Enable Send confirmation email, write an appropriate subject, choose text or HTML, and use supported variables for personalization.
If your team must review the application, describe the next step rather than saying the buyer is approved. The received-message editor is not an editor for the fixed approval and rejection templates.
Set up this workflow
Open the form Settings → Content & behavior.
Enable Send confirmation email.
Enter an Email subject that confirms receipt rather than approval.
Choose plain text or HTML in Email format.
Write the Email message, add supported variables, and save.
Submit a test application using a valid email and review the delivered subject, formatting, and substitutions.
Example
Subject: We received your wholesale application. Message: Thank the applicant and explain that your team will review the business details.
Expected result
The applicant receives the configured receipt subject and message with supported variables resolved, without a premature promise of approval.
Limits and important behavior
- Only the received-message auto-responder is fully editable; approval and rejection templates are fixed.
- The form needs an applicant email.
- Do not promise automatic wholesale access if your workflow requires review.
Troubleshooting and verification
If variables appear as raw text or leave a gap, compare their spelling with the supported tokens and confirm the test has the corresponding answer. Test the application-received message itself; editing it does not change the fixed approval or rejection templates.

Show the controls used to open the form Settings → Content & behavior. Add a second screenshot showing the result of this check: Submit a test application using a valid email and review the delivered subject, formatting, and substitutions. Use dummy applicant details and mask any secrets.
