Why Can’t a Team Member Access or Edit a Form?
What you will achieve in this guide
Follow this step-by-step documentation to configure custom B2B registration forms, approval workflows, and customer tagging.
Check Shopify app access, the Rivio role, and assigned forms when a staff member cannot view or edit a registration workflow.
Before you begin
Confirm the person’s Shopify account and app access, then review their Rivio role and form scope with the owner. Test access using that person’s account after saving assignments.
Separate entry, visibility, and editing
If the person cannot open the app, inspect Shopify store/app access first. If the app opens but a form is missing, inspect the Rivio role and Staff assignment. If the form is visible but cannot be changed, check whether the person is Read-only.
Use the affected person's actual account to retest after the owner saves a correction. Sharing the owner password does not fix permissions and prevents you from verifying the intended role.
Reference and examples
| Symptom | Check | Correction |
|---|---|---|
| Cannot open app | Shopify store/account/app access | Have the owner review Shopify access. |
| Form missing | Rivio role and Staff form scope | Owner saves the intended assignment. |
| Can view but cannot edit | Read-only role | Keep read-only or intentionally grant appropriate reviewer scope. |
| Owner cannot find controls | Release-specific team management entry point | Ask support for the correct entry point. |
Diagnose and resolve the problem
Ask the user to confirm the correct Shopify store and account.
Review whether Shopify allows the account to open the app.
Check the user’s Rivio role with the owner.
For Staff, confirm the specific form is assigned.
For Read-only, confirm that editing is intentionally restricted.
Retest after saving the correct access settings and escalate with the user identity and form name if needed.
Example
A reviewer can open the app but cannot find Demo Distributor Application. Compare their role and assigned forms with the form they need.
Expected result
After the owner saves the intended assignment, the reviewer can access the correct form under the intended permissions.
Limits and important behavior
- Never share an owner password to work around permissions.
- Do not assume account switching or a browser issue is the cause before checking roles.
- If team-access controls are not visible to the owner, contact RivioApps Support to confirm the management entry point for your app release.
Troubleshooting and verification
If the app cannot be opened, check Shopify access. If a form is missing, check Staff assignments. If viewing works but editing does not, check whether the role is Read-only. Ask the owner to correct the relevant access layer.
Screenshots to add
Screenshot placeholder: Capture the relevant app screen for “Why Can’t a Team Member Access or Edit a Form?” after completing the setup. Show the controls used to ask the user to confirm the correct Shopify store and account. Add a second screenshot showing the result of this check: Retest after saving the correct access settings and escalate with the user identity and form name if needed. Use dummy applicant details and mask any secrets.
