Use a Read-only Rivio role for team members who should inspect Shopify registration information without editing forms or decisions.

Before you begin

Confirm the person’s Shopify account and app access, then review their Rivio role and form scope with the owner. Test access using that person’s account after saving assignments.

Allow inspection without decisions

Read-only is for a person who needs to inspect records without changing forms or application outcomes. It is useful for an observer or reporting colleague who does not need reviewer authority.

The person still needs Shopify access to open the app. Verify behavior using their account: viewing and changing are different tests. Do not upgrade to a broader role just to bypass an unexplained access issue.

Set up this workflow

  1. Confirm the team member’s Shopify account can access the app.

  2. As owner, open the available app team-access controls.

  3. Select the user and set the Read-only role.

  4. Save the access configuration using the controls present in your release.

  5. Have the user open a form and submission they are allowed to view.

  6. Confirm they cannot save form edits or change application decisions.

Example

Give a controlled observer Read-only access and ask them to inspect a test submission and attempt a form edit.

Expected result

Viewing is allowed within the permitted scope; saving edits or changing decisions is unavailable.

Limits and important behavior

  • Read-only is a documented app role, not a substitute for Shopify account security.
  • Do not broaden a role merely because a user cannot find a form; inspect permissions first.
  • If team-access controls are not visible to the owner, contact RivioApps Support to confirm the management entry point for your app release.

Troubleshooting and verification

If the app cannot be opened, check Shopify access. If a form is missing, check Staff assignments. If viewing works but editing does not, check whether the role is Read-only. Ask the owner to correct the relevant access layer.

Screenshots to add

Screenshot placeholder: Capture the relevant app screen for “How to Give a Team Member Read-Only Access” after completing the setup. Show the controls used to confirm the team member’s Shopify account can access the app. Add a second screenshot showing the result of this check: Confirm they cannot save form edits or change application decisions. Use dummy applicant details and mask any secrets.
